What this website does and does not collect, in plain language.
The short version. This site sets no cookies, runs no analytics, and has no advertising or tracking of any kind. The only information we receive is what you choose to type into the contact form.

This website is published by the Kirkwood Village Homeowners Association, the homeowners association for the townhome community at 3101 & 3175 Kirklevington Drive, Lexington, Kentucky 40517. The association is managed by Assurance Realty & Property Management.

Cookies and tracking
This website does not set cookies. It does not use analytics software, advertising networks, social media pixels, session recording, or any other form of visitor tracking. Nothing is stored in your browser by this site — it does not use LocalStorage, SessionStorage, or similar browser storage.
Because there is no tracking, there is nothing to opt out of and no cookie banner to dismiss.
Information you send us
The Contact Us page includes a form. If you use it, we receive the information you enter:
- Your name
- Your email address
- Your unit number, if you choose to provide it
- The topic you select
- Your message
The message is emailed to the HOA email address, which is monitored by the board and the property manager, and is copied to the association’s website provider so that delivery problems can be diagnosed. We use this information only to respond to you and to handle the matter you wrote about. We do not sell it, rent it, or share it for marketing.
For technical reasons the message we receive also records the IP address the submission came from and the date and time it was sent. This helps us identify spam and abuse.
Messages are kept in the association’s email account for as long as they are needed to deal with the matter and to maintain a reasonable record of association business. You can ask us to delete a message you sent by emailingkirkwoodlex@yahoo.com.
You are never required to use the form. You can email, call, or write to the association instead — those options are listed on theContact Us page.
Spam protection
To stop automated spam, the contact form uses a hidden field that people do not see, checks how long the form was open before it was submitted, and limits how many messages can be sent from one internet connection in an hour. The rate limit works by storing a one-way scrambled version of your IP address in a temporary file on the server; entries older than one hour are discarded. The original IP address is not stored in that file and it is not used for any other purpose.
Server logs
Like nearly all websites, our web host keeps standard server logs as part of normal operation and security. These typically record the IP address making a request, the date and time, the page or file requested, and the browser being used. These logs are generated by the hosting platform rather than by this site, are used for troubleshooting and security, and are not combined with anything else to build a profile of you.
Fonts, images, and documents
Everything this site loads is served from our own domain. The typefaces, images, and PDF documents are all hosted here. The site does not load fonts, scripts, or images from third-party services, so simply visiting a page does not reveal your visit to any other company.
Embedded content and links to other websites
This site does not currently embed content such as videos, maps, or social media posts from other websites. If embedded content is added in future, it will behave in the same way as if you had visited the other website directly, and that website may collect data about you, use cookies, and monitor your interaction with the embedded content.
Several pages link out to other organizations — utility companies, Lexington-Fayette Urban County Government, and our management company among them. Once you follow a link away from this site, that organization’s own privacy policy applies, not ours. We do not control those websites and are not responsible for their practices.
Children
This site is intended for residents, owners, and prospective buyers. It is not directed at children, and we do not knowingly collect information from children.
Security
The site is served over an encrypted HTTPS connection. No account, password, or payment information is collected anywhere on this website. Dues payments are handled by mail, in person, or by ACH authorization form as described on theContact Us page — never through this site.
Changes to this policy
If the way this site handles information changes — for example if analytics or an embedded map were ever added — this page will be updated and the date at the top revised.
